Role overview
Role Purpose
To perform clerical administrative and accounting tasks in support of Human Resources activities in Brazil, with focus on payroll, contracts, and benefits management, liaising closely with internal clients and external suppliers such as outsourced accountants and insurances providers. Post holder will work closely with line manager finding balance on corporate policies and local law requirements as appropriate.
Responsibilities
- These are some of the main responsibilities, but not limited to:
- Monitor staff contracts, acting on renewals, conversions, termination, and other non-routine cases such as maternity leave.
- Manage staff benefits such as health, dental and life insurances, meal tickets and transportation allowance, ensuring that enrolments and discontinuation take place as required, within deadline. Check corresponding monthly invoices, prepare journals for signature and posting and insert payment in the bank for release. Monitor completion and report needs for change to the insurance agent.
- Monitor staff medical clearance as required by labour law, liaising with the occupational health clinic, ensuring all staff are cleared within deadlines.
- Liaise with the outsourced accountants for payroll processing, payment of annual leave entitlements, internships, payments of fees to individuals other than BC employees, taxes, termination fees and other payroll-related reports and procedures.
- Maintain physical files as required by local labour law and for internal/external audit purposes. That includes staff individual binders, payroll, and benefits, amongst others.
- Prepare all HR-related journals, and submit them to local Finance team for signature, and then e-mail them to the Global Services Desk for posting within end-of-month established deadlines.
- Provide information to self-funded projects on monthly basis regarding their staff costs as supporting document for the settlement of accounts to third parties.
- Support with the management of HRIS System (MyHR), ensuring transactions are in line with policies and in compliance with local labour law requirements. Act as one of the local power users.
- Monitor all kinds of leave as per local legislation and make sure they are duly recorded on the system.
- Liaise with internship agencies and supervisors for recruitment, renewal, and termination of internship contracts. Collect and check all documentation and report relevant ones to outsourced accountants.
Requirements
- Proven experience of working in an HR function, in special with payroll and related issues.
- Experience working with sensitive and confidential information.
- Excellent organisation and time management skills.
- Ability to operate in Portuguese and English (both written and spoken) at IELTS level 6.0 or equivalent. Non-native speakers of Portuguese may be required to take a Portuguese test covering technical labour law related jargon.
Desirable criteria
- SAP knowledge
- Experience working with any type of HRIS – Human Resources Information Systems.
- Formal training or certification in Brazilian payroll and benefits procedures.
- University degree in Accounting, Administration, or related area.
